JOB SUMMARY

Reporting to the Senior Director in the Project Management Office, the Project Manager works closely
with Content/Creative Managers, the Business Office, and clients to lead project teams in organizing,
planning, scheduling, tracking, and delivering projects from start to finish.

PRINCIPAL DUTIES AND RESPONSIBILITIES FOR THIS POSITION

The Project Manager ensures the timely development and transmission of all project deliverables
according to the cost, quality, technical, and schedule expectations of the client, and with accurate
tracking, careful attention to file management, and adherence to Aptara process, workflow, and best
practices.

Project Management Responsibilities
● Collaborate with internal and external teams to define and control project scope
● Develop, monitor, and execute workflows and schedules
● Work with the Business Office to ensure accurate and timely financial tracking, billing, and
reporting
● Identify risk, analyze root cause and develop remediation plans for project execution and
financial performance

● Collaborate with Content and Creative Managers to:
o on-board subcontractors
o create resource contracts & invoicing plans
o review, process, and track invoices
● Manage internal and external expectations through timely and accurate tracking, reporting, and
communications
● Ensure successful transmission of project deliverables to clients and between internal teams;
including completing file transfers/transmittals and sending assignment communications
● Provide excellent customer service by effectively managing client expectations and delivering
quality projects on-time and on-budget
Process Adherence & Improvement
● Execute projects with established best practices and protocol
● Suggest improvements to project management standards and best practices
● Seek ways to improve project efficiencies, processes, and communication protocols
Collaborative Participation
● Demonstrate willingness to work within the PMO and across Publishing Services to assist with all
areas of project execution when needed

o Ability to evaluate a production path with technical, schedule, and production
considerations.
o Ability to anticipate potential problems and issues about a project and suggest viable
workarounds.
o Ability to quickly analyze a problem and recommend actions based on sound judgment
and common sense.

● Communication Skills
o Ability to create and maintain documentation that communicates the various production
stages of a project.
o Ability to convey thoughts, ideas, concepts, commitments, etc. to team members in
writing and verbally.

● Interpersonal Skills
o Ability to maintain positive working relationships with clients and Aptara personnel at all
levels.
o Ability to exhibit a high energy level and positive attitude while working under stressful
conditions and tense situations.

● Flexibility and Adaptability
o Ability to coordinate several projects simultaneously, maintaining quality and schedules
on all.
o Ability to learn new technologies.

● Technical Skills/Knowledge
o Solid MS Word/Excel/PPT (or equivalent) skills.
o Ability to read and use project schedules (Smartsheets, MS Project, etc).
o Basic knowledge of digital development, print production, and desktop publishing
desired.

● B.A. or B.S. degree preferred
