Dovetail Impact Foundation is looking for an Operations Associate to strengthen and support
our operational effectiveness, quality, and cohesion across the Foundation.

Job Summary
The Operations Associate will support the team in ensuring high-level operational
effectiveness, quality, and cohesion across the organization. Key areas of responsibility will
include direct support of the President and COO, Dovetail’s grants administration, and
Acceleration Program delivery.

Key Result Areas: The Operations Associate will deliver the following key results:
1. Executive Support: Work closely with and support the President, CFO, and COO in
delivering compliant, secure, and efcient grants administration (additional details
below) and operational support for strategic initiatives, internal and external events
and coordination, and cohesive communications and reporting.
2. Compliant, Secure, and Efcient Grants Administration:
● Accurate Data Management: Ensure all grant-related data, including grant
approvals and grant disbursement, are recorded, updated, and reconciled
accurately within the grants management system, in line with Foundation
policies.
● Secure and Purpose-aligned Grant Disbursements: Ensure that grants are
aligned to their approved purposes and disbursed accurately through securely
veried banking and disbursement instructions. An essential part of this result
area will be the timely management of the Equivalency Determination process
for partners.
● Reporting: Provide timely reporting to support compliance, nancial reporting,
and knowledge & learning management.
● Process Efciency: Identify opportunities to improve the grants administration
process, including streamlining workows and automating routine tasks.
● Grantee Guidance: Provide support and guidance to grantees in navigating our
grants administration process and platform.
● Training: Deliver training for Foundation teammates on topics such as internal
processes and systems related to grants management.
3. Acceleration Portfolio Administrative Support: Work closely with the Acceleration
Portfolio Manager to coordinate program events and activities, including training
workshops, cohort community activities and gatherings, consultant planning meetings,
and other program-related activities.
Travel:
● Expect 1-2 international trips per year with periodic travel within the US.
Qualications:
● 10+ years of delivering high-trust executive-level support
● Prior grants management experience exposure is preferred
●
● Demonstrated project management experience with high capacity to drive multiple
projects simultaneously, with immediate and long-term deadlines.
● Demonstrated experience and skill with data analysis and information synthesis, often
with imperfect or incomplete information.
● Cross-cultural uency.
● Excellent, proactive executive-level written and verbal communication skills.
● The ideal candidate is an “inbox zero” person.
● Excellent computer skills, including Google Suite (Google Docs, Sheets, etc.), Excel,
Powerpoint, Zoom, and Salesforce.
